AR Cash Collector

Chase overdue invoices — never the ones already paid

Every morning it reads your open invoices from your accounting system — QuickBooks or Xero — compares them against every payment across your connected sources, and drafts a polite, escalating reminder only for invoices that are genuinely unpaid and safe to chase. Connect Stripe too and a customer who already paid you there is dropped from the chase queue. Across your connected sources a settled invoice is never chased; a dispute or a cease-contact request pauses the thread. It only works business-to-business, and nothing sends without your click.

Trained on

your open invoices from QuickBooks or Xero (read-only) + your Stripe payment records (read-only, so we never chase a customer who already paid you through Stripe) + the reminder tone you approve + your own do-not-chase list

Methods

  • A deterministic payment match before any draft — settled invoices are never chased
  • Each invoice classified safe-to-chase: a business, no active dispute, no cease-contact, no payment in flight
  • Tone scaled by days overdue — a nudge at 15 days, a follow-up at 30, a formal notice at 60+
  • Every dollar figure cross-checked against the source invoice — no invented amounts
  • Cease-contact honoured immediately and permanently on first request
  • Business-to-business only — individual debtors are held, never chased

Who it's for

B2B finance teams tired of chasing overdue invoices by hand — and wary of dunning someone who already paid. The $129 Solo plan fits one legal entity with up to about 150 open invoices on the books — a founder, bookkeeper, or small finance team running collections off QuickBooks or Xero.

How it works

From signup to the first send.

1

Connect your accounting system — QuickBooks or Xero, read-only — it reads your open invoices and every payment on file. Add Stripe too, read-only, so we never chase a customer who already paid you there.

2

It marks settled invoices as paid and classifies the rest as safe-to-chase or held.

3

For each safe-to-chase invoice it drafts a polite reminder, with tone scaled to how overdue it is.

4

You review the approval queue each morning and send with one click — edit the tone first if you like.

Capability matrix

Does well, with review, won't do.

Out-of-scope tasks escalate · they don't hallucinate

Does well

  • Open invoices reconciled against payments every morning
  • Polite, escalating reminders drafted only for safe-to-chase invoices
  • Every dollar figure cross-checked against the source invoice
  • Cease-contact honoured instantly and permanently
  • An approval queue ready before you start your day

With review

  • You approve every reminder — nothing sends on its own
  • Disputed and ambiguous invoices are held for your call
  • Tone is editable before you send

Won't do

  • Never chases an invoice already settled across your connected sources
  • Never emails an individual debtor — B2B only
  • Never uses legal-threat language

Connections

Per tool: why we need it, what we do, how it's audited.

Connect what you need, when you need it. The assistant only reads tools you explicitly link — never the rest of your stack.

What you connect the minimum to start
  • Your accounting — QuickBooks or Xero for your open invoices, read-only — and optionally Stripe, read-only, as a payment signal.
  • Optional: your own do-not-chase list — uploaded once, honoured on every run.
  • Optional: Slack — a ping when a batch of drafts is ready.
What we handle for you no setup on your side
  • We reconcile every open invoice against every payment before a single word is drafted.
  • We classify each invoice safe-to-chase or held, and scale the tone to the days overdue.
  • We honour cease-contact instantly and hold anything that looks like an individual debtor.

Read-only across QuickBooks, Xero, and Stripe — we hold no write tokens, ever.

What it reads on every task

Your data. Not the public internet.

Loaded fresh per task — change a doc, the next task picks it up. No retraining, no week-long fine-tune, no stale snapshot.

  • Your open-invoice book — refreshed daily from QuickBooks or Xero, private to your workspace
  • Your payment history — every payment in QuickBooks or Xero, and any Stripe charge if connected — the source of the 'already paid' check that never chases a settled debt across your connected sources
  • Your cease-contact list — anyone who asked to stop, honoured immediately and permanently
  • Your escalation rules — tone by days overdue, and how many touches before it escalates to you

Guardrails

When it stops and asks you.

  • An invoice with any unresolved payment record — held until the payment is confirmed or reversed
  • A debtor who replied 'stop contacting me' — removed from the chase queue instantly and permanently
  • A disputed invoice — paused and routed to your review before any further draft
  • A debtor that looks like an individual rather than a business — held for your classification
